Position Overview

Compass Academy is seeking an Office Manager to oversee, and implement, office duties at Compass Academy including:  enrollment and admissions, student records and District compliance, medical records, and administrative tasks.

 

Job Responsibilities

  • Enrollment, Recruitment and Admissions
    • Support Enrollment Manager in scheduling and logistics for Open Houses throughout the year
    • Talk to parents about Compass Academy as needed - Open Houses/School Visits/ District Expos
    • When requested, support enrollment and recruitment efforts (home visits, mailers, phone banks)
    • When requested, schedule student shadowing and support Enrollment Manager with any logistics during recruitment seasons
    • Partner with Operations Manager to plan, organize and run registration - check in with families who do not have paperwork in after registration dates
    • Update and organize/send out summer enrollment packets that are mailed in June and July
    • Plan the Orientation for new families in August and pot-luck
    • Maintain enrollment to meet our budget
    • Coordinate with DPS and manage pupil count on October 1st.
  • Student Records and District Compliance
    • Create and maintain student records - organize files, request new student files, copy and send out departing student files, make sure paperwork is up to date and required DPS paperwork is filed
    • Manage Infinite Campus (IC) - update electronic files including student, parent, ELA and discipline data, student scheduling
    • Manage Kickboard: enrollments, withdrawals, schedule changes, course rotation changes (e.g., Seminars and PE/Art rotations)
    • Attend DPS meetings re: IC compliance
    • Read and respond to DPS email
  • Medical Records
    • Manage medical issues that come to the office
    • Manage medical records with assistance from the nurse
    • Make copies of all medical forms and distribute to teachers on 1st day of school - maintain updates throughout the year
    • Create medical books for each teacher with up-to-date medical forms
    • Create master medical book for the office
  • Administrative Tasks
    • Greets visitors, students, families, and staff with professionalism, patience, and responsiveness
    • Manage phone calls and communication with families
    • Manage all mailings
    • Establish and maintain parent emails and phone numbers
    • Write and send out the weekly parent newsletter for Thursday distribution to parents
    • Manage attendance, tardies, and makes calls home when CM is out
    • Manage minor discipline that comes into the office
    • Manage the upkeep of CA uniforms
    • Manage and track student uniform policy and borrowed uniforms
    • Manage and track cell phone confiscation
    • Setup and monitor all lost and found
    • Set up binders in the office for volunteers, students sign-in, visitors, school forms
    • Support getting substitutes for teachers and preparing for a sub in the building (doors unlocked, copies made, rosters available)
    • Order supplies, equipment as needed; maintain inventory
    • Maintain and organized storage spaces with inventory lists
    • Assist with operations support, and vendor relations (ie, food service, janitorial service, facilities)
    • Clean and close office for the summer
    • Attend and support the preparation and logistics for Student Conferences
    • Prepare Kickboard Reports
    • Supervise Recess/Before or After School/Resets as needed

Qualifications:

  • Minimum 2 or more years of professional experience
  • Bachelor’s degree required
  • Strong ability to manage logistics and operations in a dynamic work setting
  • Proven ability to work both as a team member and independent leader
  • Flexibility, resourcefulness and comfort working in a startup environment
  • Excellent verbal communication skills
  • Experience working with students in learning environments
  • A positive, do-what-it-takes attitude, great sense of humor
  • Entrepreneurial mindset and ability work in a fast paced, collaborative work environment
  • Proficient in Spanish
  • Experience in a progressive and/or Charter setting (preferred)
